Terms of Service

These Terms of Service ("Terms") form a binding agreement between you and TRUEFRAME SOFTWARE LLC, operating the Easy Arrival Online service ("Easy Arrival Online", "we", "our", or "us"). They govern your use of our website travel-to-asia.com, our online application forms, and any related services we provide in connection with travel document assistance (collectively, the "Service").

By accessing the Service, submitting an application, or making a payment, you acknowledge that you have read, understood, and agree to be bound by these Terms, as well as our Privacy Policy and Refund Policy, which are incorporated herein by reference. If you do not agree, you must not use the Service.

We may update these Terms from time to time. Continued use of the Service after changes are posted constitutes acceptance of the revised Terms. Material changes will be reflected by an updated "Effective" date at the top of this page.

Easy Arrival Online is an independent private company. We are not a government agency, embassy, consulate, or official visa authority, and we are not affiliated with, endorsed by, or acting on behalf of any government.

Our Service consists of assisting travelers in preparing, reviewing, and submitting arrival cards, eVisa applications, and related travel authorization forms on their behalf, in exchange for a service fee that is separate from any government fee. Where an official government portal exists, you always retain the option of applying directly through it at the standard government fee, without using our Service.

You authorize us, and any personnel or subcontractors we engage, to act as your agent solely for the purpose of preparing and submitting your application to the relevant government authority based on the information you provide.

The granting of any travel document, visa, or entry authorization is entirely at the sole discretion of the relevant government authority. We do not and cannot guarantee approval of any application. Processing times we publish are estimates based on historical data and are not guaranteed delivery dates; we are not responsible for delays caused by government systems, increased demand, outages, or administrative errors of the issuing authority.

These Terms are drafted in English. In the event of any discrepancy between the English version and any translation, whether provided by us or by automated software, the English version shall govern and control.

By using the Service, you represent that you understand the English language sufficiently to read and accept these Terms, or that you have used an independent translation tool to do so. The inability to read English is not a valid basis for voiding this agreement or requesting a refund after the Service has been rendered.

Official communications regarding your application, including status updates and support responses, are provided primarily in English. While we may offer assistance in other languages as a courtesy, we do not guarantee the accuracy of non-English communications.

To the maximum extent permitted by applicable law, Easy Arrival Online, its officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to lost travel bookings, missed flights, accommodation costs, or lost income, arising out of or related to your use of the Service.

Our total aggregate liability for any claim arising from these Terms or the Service is limited to the amount of service fees actually paid by you for the specific application giving rise to the claim.

We are not liable for the rejection of an application by a government authority, for delays caused by that authority, or for consequences resulting from inaccurate, incomplete, or false information that you provided to us.

You agree to indemnify, defend, and hold harmless Easy Arrival Online and TRUEFRAME SOFTWARE LLC from and against any claims, liabilities, damages, losses, and expenses, including reasonable legal fees, arising out of: (a) your breach of these Terms; (b) inaccurate or fraudulent information you submit; (c) your violation of any law or the rights of a third party; or (d) your misuse of the Service.

Our full Refund Policy is set out on a dedicated page and is incorporated into these Terms by reference. In summary: our service fee may be refunded where an application is rejected due to an error attributable to our team, or where you cancel before your file has been submitted to the relevant authority. Government fees, once submitted to the issuing authority, are generally non-refundable regardless of the outcome.

Refunds are not available where a rejection results from information you provided, your personal eligibility, expired travel documents, or circumstances outside our control.

IMPORTANT — PLEASE READ CAREFULLY. Any dispute, claim, or controversy arising out of or relating to these Terms or the Service shall first be addressed through informal negotiation by contacting our support team. If the dispute is not resolved within 30 days, it shall be submitted to binding, individual arbitration rather than litigated in court, except that either party may bring an individual claim in small claims court where eligible.

YOU AND EASY ARRIVAL ONLINE EACH WAIVE THE RIGHT TO A JURY TRIAL AND THE RIGHT TO PARTICIPATE IN A CLASS ACTION, CLASS ARBITRATION, OR OTHER REPRESENTATIVE PROCEEDING. Disputes will be arbitrated on an individual basis only.

The arbitration shall be conducted by a neutral arbitrator under the rules of a recognized arbitration body, in the English language, and the arbitrator's decision shall be final and binding, subject only to limited review as permitted by applicable law.

All payments are processed securely through Stripe. By submitting payment, you agree to pay the full amount shown at checkout, including the service fee and any applicable government fee.

If you believe you were charged in error, you must contact our support team before initiating a chargeback with your card issuer or bank, so that we have the opportunity to resolve the issue directly.

Filing a chargeback for a service that was properly rendered in accordance with these Terms constitutes a breach of this agreement. We reserve the right to contest illegitimate chargebacks by providing evidence of the service delivered, and to suspend or terminate access to the Service for accounts associated with fraudulent or abusive chargebacks.

We reserve the right to refuse, suspend, or terminate the Service to any user, at our sole discretion, including where we suspect fraud, misuse, provision of false information, abusive behavior toward our staff, or violation of these Terms.

We reserve the right to modify, suspend, or discontinue the Service, or any part of it, at any time without notice. We will not be liable to you or any third party for such modification, suspension, or discontinuation, provided that if we discontinue a service you have already paid for but not yet received, you will be entitled to a refund in accordance with our Refund Policy.

Your use of the Service is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information, including passport and travel details required to submit your application. Please review it carefully before using the Service.

If you experience any issue with your application, our support team is available 7 days a week to help resolve it. We aim to acknowledge all inquiries within 2 business hours and to resolve issues promptly and fairly.

If you remain unsatisfied after contacting support, you may escalate your request in writing to the contact address below, and we will conduct a further review of your case.

We shall not be liable for any failure or delay in performing our obligations under these Terms where such failure or delay results from circumstances beyond our reasonable control, including but not limited to government system outages, changes in government policy, natural disasters, acts of war or terrorism, pandemics, labor disputes, or internet or telecommunications failures.

• Entire Agreement — these Terms, together with our Privacy Policy and Refund Policy, constitute the entire agreement between you and Easy Arrival Online regarding the Service.
• Severability — if any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect.
• No Waiver — our failure to enforce any provision of these Terms shall not constitute a waiver of that provision.
• Assignment — you may not assign these Terms without our prior written consent; we may assign these Terms freely in connection with a merger, acquisition, or sale of assets.
• Governing Law — these Terms are governed by the laws of the State of New Mexico, United States, without regard to its conflict of law principles, except as otherwise required by mandatory consumer protection law applicable to you.
